How to Import Fuel Data on Linxio
Important Information
NOTE: The Fuel module and its import feature is only available on the Fleet Plus software plan.
The Linxio platform allows users to import their Fuel Card Provider's end of month fuel transaction statements for review and management of this data on their platform.
Please refer to the below list of compatible fuel card providers which the Fuel module currently supports for importing data:
- BP
- Caltex
- Fleet Card
- Shell
- Wex Motorpass
- Chevron
If your fuel card provider is compatible per the above list , please email our support team at support@linxio.com to request a Fuel Import template required for the import of data.
If your fuel card provider is not listed above, please reach out to the support team at support@linxio.com to provide them the below information to check compatibility:
- The name of provider.
- A copy of the end of month fuel transaction statement in .CSV, XLSX, XLS, or TXT format.
How to import Fuel Data on Linxio
You can do this by:
- Log into the Linxio platform.
- Click on the Fuel module from the left-hand side.
- Click on the IMPORT DATA tab then click on UPLOAD.
- You'll be prompted to select a file which should be the Fuel Import template in .CSV, XLSX, XLS, or TXT.

- Fuel data from the file should appear on your screen if template is filled out correctly.
- Review the errors listed on the left-hand side for each record.
- Scroll down and click on Save to attempt import.

- If the import was successful you can check to see if there's any data by clicking on the Summary tab.
- You are now able to view this data in the Fuel Records & Fuel Records by Vehicle.

Fuel Import Troubleshooting
The Linxio platform identifies your fuel card provider automatically by scanning the first 20 rows of the uploaded file for a header row that exactly matches one of its known formats (e.g. BP, Caltex, Shell, Motorpass, Chevron, or the standard Linxio template). Data column order doesn't matter, and it isn't case-sensitive, but the header text itself must match precisely (no extra words, abbreviations, or renamed columns).
If none of the header labels line up with a known format, the system won't show an error, it will simply import zero records, so if your upload appears to "succeed" but no rows show up, the most likely cause is a header row that doesn't match a supported template exactly.
Some additional things you can check are:
- Ensure the file is in .CSV, XLSX, XLS, or TXT format.
- Check and ensure the data columns in the fuel statement match with the provided template.
- Ensure the registrations are labelled the same on the Linxio platform and the template.
If your import fails or shows no data, please send a copy of the file to our support team so we can verify the header format and confirm what went wrong.
